VOI and AML/CTF checks are completed, and the property’s title is monitored, before settlement day.

We create the PEXA workspace and invite all parties, organise shortfall figures and transfer duty, and confirm everyone is ready to go.

4. We Settle
Funds, duty and title transfer are coordinated and finalised through PEXA on settlement day.

No. We act on your firm’s instructions to manage the settlement — the financial exchange and transfer of property. Your firm remains the client’s conveyancer of record throughout.
Will you contact our client directly?
No. We deal with your firm only — we don’t contact your client directly. The client relationship stays entirely yours.
Who handles the compliance side of things?
Workflow Settlements is backed by a licensed incorporated legal practice, so every Verification of Identity and AML/CTF check — run through InfoTrack — is carried out to the standard your clients expect from their solicitor. Your firm remains the reporting entity and keeps its own compliance officer; we handle the practical processing and escalate anything that comes back concerning straight back to your firm to action.
How does AML/CTF Tranche 2 affect our file?
We run every purchaser’s identity, sanctions and PEP checks through InfoTrack as part of standard due diligence under Tranche 2. If a result comes back concerning, we escalate it straight back to your firm to action — nothing is decided or actioned on your behalf.
How do we communicate with you during a matter?
Your firm is allocated a dedicated settlements officer as your single point of contact, reachable by email and phone throughout the matter. We’re also developing a portal so firms can oversee and manage their settlements online — coming soon.
How is Workflow Settlements different from SettleIT and similar providers?
Many settlement providers operate as a panel of independent firms, each running its own practice alongside its own client work. Workflow Settlements takes a different approach: a single dedicated team whose sole focus is processing settlements, not divided between multiple firms. How and when do we pay?
A flat $395 + GST fee applies per settlement. We invoice your firm directly after settlement is complete — the fee is not deducted through PEXA.
What if settlement is delayed?
Settlement dates shift for all kinds of reasons outside anyone’s control, and we don’t charge any additional fee for a delayed settlement — our flat fee stays the same no matter how many times the date moves.
